Use outlook journal to track your windows mobile phone’s phone calls

Monday, October 6th, 2008

Journal is less know compared with other outlook component such as calendar, email,
but it also very useful to manage your daily life.
In this article I will show you how to track you windows mobile phone’s call
from outlook journal.
1.First step you need to do is sync your windows mobile phone’s call log into outlook journal,
Since ActiveSync doesn’t support sync call log,so you need to use some third part tools to have
this done,I would very glad to recommend you to use our PocketExport outlook add in(it also can sync
your sms as well),but there are some freeware available too. From now i just assume that you already
transferred all your call logs from your phone to your journal.
2.Open the outlook journal, you can see you call log list:

Call log grouped by time
you can change the view to “Entry list”,the call log will be grouped by the contact(you need to click
the contact column first if you want the call log grouped by contact)
Call log grouped by contact
Notice,I just hide the phone number in the pictures above, these screen shot are captured after sync the call log with outlook journal with the help of PocketExport.

Difference between outlook and outlook express

Thursday, September 25th, 2008

I just noticed that lot of people feel confused with outlook and outlook express.
Ok,i should admit that these people including me:),about 4 years ago,i can’t tell
the difference either.
So,here is the difference:
1.Outlook express is shipped with internet explorer, that means you don’t need to install
it manually. You will find it through the start menu.
2.The purpose of Outlook express is solely to receive/send/edit mail,i mean,it’s only a email
client.Of course, with our OEExport, you can manage your windows mobile phone’s SMS from it too.
3.The development of outlook express is discontinued.in VISTA,it’s been replaced by
a new mail client:windows mail, seems Microsoft also encourage users to try another mail client
called “windows live mail”,i really feel confused about their marketing strategy,
maybe “windows live mail” is more related with their web service?

In other side:
4.You need to pay to use Outlook,it’s a component of OFFICE
5.Outlook is not a mail client only,it has lot of other features like calendar.

Conclusion:
Outlook express and outlook are two completely different applications both come from
Microsoft,Outlook is more powerful but outlook express is free.

Tracking time spent on phone calls and other events

Monday, September 15th, 2008

Outlook journal will be very useful when used to track the phone calls you made with others:For example:When you take a phone call from a friend, just open the Journal folder, then create a phone call item, and click Start Timer. Click Pause Timer when the call is over, you can aslo add any additional information as well, choose your friend’s name from the address book and then click Save and Close to save the item to Journal.

Here are the steps you need to follow to create a phone call item manualy in outlook journal.
1. File menu—>New—>Journal Entry.
2. In the Entry type list, set the type as “Phone call”.
3. Specify the company, contacts, and categories for the item, as applicable.
4. Set the start date and time, if they are different from the current date and time.
5. Set the duration
6. Click Save and Close.

Manually record a phone call entry in Outlook

Thursday, September 11th, 2008

Sometime it will be very useful to save a very important call,i don’t mean that record the voice of the call but rather the call’s start time/duration/caller name etc.
Here with outlook journal, you can do it:
1. Click Ctrl+Shift+J. a dialog will appears
2. Set the call’s start time/duration
3. select the entry type as “Phone call”.
4. Type your notes in the lower panel.
5. Choose the caller’s name from address book(if the caller already exist in your contact)
Although assigning a contact is optional, I would suggest it. Outlook will then link this journal entry to the contact. You can then reference this item very easily by click “Activities” on your contact.
